Constituent case management
Casework, correspondence and constituents in one place.
Caseworker is a case management system built for the offices of elected officials. It keeps constituent records, casework, Outlook correspondence, letters and surgery appointments together — so nothing falls between an inbox and a spreadsheet.
Access is restricted to office staff — sign-in requires a Microsoft 365 account.
Features
Everything a constituency office actually does
Casework rarely starts in a case management system — it starts in an inbox, a phone call or a surgery appointment. Caseworker is built around those entry points rather than against them.
-
Case management
Open a case file against any constituent, track it through its status, and keep notes attributed to the staff member who wrote them.
-
Constituent records
Contact details, geocoded addresses and a complete case history for every constituent. Bulk-import existing records from CSV.
-
Microsoft 365 inbox
Connects to Outlook through the Microsoft Graph API. Read and send mail without leaving the app, and attach correspondence to the case it belongs to.
-
Letter generation
Produce Word documents from templates for individual cases or whole groups, stored securely rather than scattered across desktops.
-
Tagging and campaigns
Tag cases by issue, then email every constituent affected by that issue in a single action — useful when one local decision generates a hundred letters.
-
Mailchimp sync
Push contact groups to Mailchimp audiences, carrying the permission statement with them so consent travels alongside the data.
-
Surgeries and appointments
Schedule constituency surgeries with times and locations, then book constituents into appointment slots against a case.
-
Multi-office support
Run several offices from one installation with each office's constituents and casework isolated from the others.
-
Access control
Role-based permissions, two-factor authentication and revocable API tokens — because constituent casework is sensitive personal data.
How it works
From an email to a resolved case
-
1
Correspondence arrives
A constituent emails the office. It appears in the connected Outlook inbox inside Caseworker.
-
2
Open a case
Create a case file against a new or existing constituent record. The original email stays attached to it.
-
3
Tag and track
Tag the case by issue and move it through its status as the office works on it, with notes recorded against each step.
-
4
Respond
Reply by email, or generate a formal letter as a Word document from a template.
-
5
Report
Use tags to see which issues are generating casework — and to contact everyone affected when there's an outcome.
Integrations
Works with what the office already runs on
Casework tends to be spread across a mailbox, a mailing list and a folder of Word documents. Caseworker connects to those directly rather than asking staff to key the same details in twice.
-
Mail · Calendar · Sign-in
Microsoft 365
Staff sign in with their existing work account. Read and reply to constituent mail from the connected Outlook mailbox without leaving a case.
-
Audience sync
Mailchimp
Push contact groups straight to Mailchimp audiences, carrying each group's permission statement with it so consent travels alongside the data.
-
Document storage
Amazon S3
Case documents and generated letters are stored off the application server, so files survive redeployment and aren't scattered across desktops.
-
Letter templates
Word documents
Formal correspondence is generated as .docx from office templates — editable in Word before it goes out, rather than locked inside the system.
-
Bulk data
CSV import
Bring existing constituent records and contact groups in from a spreadsheet, so moving to Caseworker doesn't start with an empty database.
